Manage and share context
The Context management panel, accessible from the left navigation, is your central place to review, edit, share, and manage everything you have added to guide your translations. It shows all context you have created yourself, as well as context that others have shared with your workspace. From here, you can keep your material organized, maintain clarity across your team, and make sure everyone uses the right guidance.
Open the Context management panel
Select Context in the left navigation to open the context management panel. This screen lists all available context along with context name, type, creator, and sharing status. You can quickly see which items are yours and which ones have been shared by others.
The panel also offers a search function to help you find context by name or type.
View context details
Click the three-dots menu to the right of any item, then select Edit or View to open its detail view. This shows:
the context name, description and type
the file or quick instructions that define the context
Edit a context
If you created the context—or if you are a workspace admin or owner—you can edit it. Editing allows you to:
update the name
refine the description
change the context type
update the quick instructions
Your changes take effect immediately and the updated context becomes available for new translations. (For how edits affect past translations, see the next chapter.)
Users who are not the creators of a context can view context details but cannot edit them unless they hold an admin or owner role.
Delete a context
If you no longer need a context, you can delete it using the three-dot menu. Deletion is only available to the context creator, workspace admins, and workspace owners.
When you delete a context:
it disappears from the Context management panel
it is no longer available for new translations
However, if the context has been used before, Lia Translate preserves the version that was attached to those translations so past work stays stable, see below.
Users who are not the creators of a context cannot delete context unless they hold an admin or owner role.
What happens when you edit or delete context
Editing or deleting context can have an impact on translations where it was already used. Lia Translate preserves stability by storing the exact version of context that was active at the time a translation was created.
If you edit context that has already been used, some changes update seamlessly, while others require versioning:
Updates such as renaming or refining the description are applied everywhere immediately.
Changes that affect translation results, such as updating instructions or changing the context type, create a new version. The previous version is preserved for translations that were created with it.
If you delete context that is still in use somewhere, Lia Translate soft-deletes it. This means:
it disappears from the Context management panel
it cannot be used for new translations
the version that was used in previous translations remains available inside those translations
These safeguards ensure predictable results, even when several people work with shared context in the same workspace.
Share or unshare a context
By default, every new context is private. Only you can see or use it until you choose to share it.
To share a context, open the Context management panel and activate the slider Shared with workspace. This makes the context available to all workspace members for use in their translations.
When sharing:
others can apply your context, but
they cannot edit or delete it
You can also unshare a context at any time. This hides it from other members but does not affect translations where it was already in use.
